The Assistant Archivist will assist the Archivist in all aspects of Archives and Special Collections department work including processing, preservation, reference and outreach. This is a year-round, 20 hours-per-week, temporary position that will continue for at least two years.

The successful candidate will assist the Archivist to process, preserve, digitize and provide access to archival holdings and special collections. Arrange and describe collections. Provide reference service to Phillips Academy community and other researchers. Promote use of collections through online exhibits, publications, presentations and other outreach activities.

Preferred Qualifications: MLS with a concentration in archives management. Experience with the following: processing archival collections and creating finding aids, providing reference services in an academic or research library and digitizing archival materials and knowledge of best practices and standards for digitization. Excellent interpersonal, communication, analytical, time management and organizational skills; attention to detail and accuracy with information; flexibility in adapting to changing departmental and institutional priorities and to ever-changing technological environments; discretion with confidential information. Ability to work independently and to effectively use current technologies and acquire new technological skills. Degree in or knowledge of American history; Ability to train and supervise student workers. May be required to lift and carry boxes up to 40 lbs.

Processing Archivist, College of Charleston, Charleston SC

The College of Charleston Library’s Jewish Heritage Collection (JHC) seeks two archivists for the successful processing and cataloging of the William A. Rosenthall Judaica Collection. The collection contains printed material and artwork that traces the portrayal of Jews by scholars, artists, laypersons, and even anti-Semites from the 16th to the 21st centuries and includes a range of formats: rare books, fine art, postcards, illustrated journals, greeting cards, pamphlets, broadsides, ephemera, newspapers, cartoons, caricatures, etchings, lithographs, watercolors, medallions, stamps, textiles, and more. Materials are in English, German, French, Spanish, Portuguese, Hebrew, Yiddish, and other languages. Mostly iconographic, the collection documents the lives, history, religious ceremonies, dress, and customs of the Jewish people. Synagogues are a particular focus, including European synagogues that were destroyed between 1938 and 1945.

Processing Archivist

Requirements
MLIS degree and at least one year of archival experience. Familiarity with processing Judaica collections would be advantageous.
Requires knowledge of standard archival practices and procedures, metadata creation, digitization processes, HTML/CSS and EAD encoding. Knowledge of XSLT a plus. Must have excellent cross-platform computer skills and be able to process collections to various levels of access with speed and accuracy. Experience with content management systems and knowledge of various art media are a plus. Ability to work with people of diverse backgrounds is essential. Training and management skills are necessary, in order to teach archival techniques to student assistants and volunteers. Reading skills in Hebrew, Yiddish, and modern European languages a plus.

Job Duties
Works with the project archivist to create and implement a processing plan for the arrangement and description of the Rosenthall Judaica Collection within the 18-month grant period. Creates DACS-compliant finding aids encoded in EAD.
Supervises student interns who create digital files and metadata for ingestion into the Lowcountry Digital Library’s repository. Utilizes controlled vocabularies for multiple formats. Maintains and updates the collections Tumblr and Twitter websites: http://asynagogueaday.tumblr.com/.

Salary, Benefits and Application Details
This is a grant-funded position for 18 months and includes full benefits.
Salary range: $35,000–$40,000.

State Library internships are unpaid, but provide students with valuable work experience in a unique library setting. The library is conveniently located in downtown Boston in the Massachusetts State House, one block from the Park Street MBTA station. Our operating hours are Monday through Friday 9-5.

Since the early nineteenth century, the State Library has continuously collected materials that reflect Massachusetts’ government, culture and history, and continues to maintain the most comprehensive collection of Massachusetts state publications in existence. Its collection has been carefully and thoughtfully gathered for over 185 years, and it forms a tremendous resource for all areas of Massachusetts research. The Library has an active program to make its collections available through public programs, exhibitions, and digitization.

Reference/Exhibitions Internship Description

The Special Collections Department is offering a half-time internship to assist with reference and exhibition activities, but also including other special projects. The internship will start on June 3, 2013, and continue through the summer, with possibility of extension through the fall 2013 semester. We request a minimum commitment of four hours per day, either 9am-1pm, or 1pm-5pm.

The intern will work with staff to cover the reference desk (helping on-site patrons, answering telephone and written inquiries); and help conduct the research, item and image selection, preservation review, scanning, creation of label text, and panel fabrication for our upcoming exhibitions. Other duties may include processing of small collections, and records management and appraisal of the Library’s archival records.

The State Library’s Special Collections Department includes items that need special care due to their age, fragility, or format. Holdings comprise rare books, manuscripts, broadsides, newspapers, tax valuations, architectural drawings, prints and photographs, scrapbooks, and souvenirs. The collection is particularly strong in nineteenth and twentieth-century city directories, maps, and atlases.

Our competitive annual summer internship carries a stipend of $2,250 and is awarded to a graduate student enrolled in an archival education program outside of South Carolina. Projects require a minimum of 135 hours and vary depending on SCPC needs and the interests of the intern. Typical internships may include arranging and describing a collection or a series within a major collection, creating an exhibit, completing a digitization project, or transcribing oral history interviews. The internship is funded by the Schuyler L. and Yvonne Moore Endowment. Housing is not provided as part of the award and must be arranged by the candidate.

Manages the workflow of eScholarship, the University Libraries’ institutional repository of scholarly output here at Boston College. Supports the description, digitization, and ingest of publications for the library’s eScholarship program. Supports the digitization and creation of metadata for special collections and for digital projects.

Familiarity with descriptive cataloging rules and citation standards. Experience with XML based descriptive and structural metadata schema (METS, MODS, MARC). Experience with name authority work and familiarity with WorldCat database. . Ability to independently move publications through a complex workflow from investigation of rights issues, digitization, metadata creation, and deposit in repository. Ability to understand and interpret intellectual property issues. Understanding of imaging standards and the ability to operate advanced image capturing systems. Familiarity with library special collections and the handling of special materials. Fluency in Excel and ACCESS. Experience with scripting (PERL) and XSLT. Excellent written and oral communications skills.

Bachelor’s degree preferred, preferably coupled with some training in library or computer science. 3-5 years of library experience, including work with metadata.

Two Volunteer Opportunities, West Springfield High School, Ramapogue Historical Society Digitization Projects, Springfield MA

West Springfield High School, Ramapogue Historical Society Digitization Projects

Note: our equipment is limited. We possess an ELMO document camera and a high resolution (though slow) flatbed scanner.

Project One

Ramapogue Historical Society, in conjunction with the West Springfield High School is seeking to digitize the historical records pertaining to our town. Some documents date back to the mid-1600s, and the bulk of them dating from circa 1750. We are seeking to digitize all records up to the Civil War. These include the town’s founding documents, probate records, wills, deeds, etc. Many of these documents deal are related to the Josiah Day House, which is in the national registry of historic places. There are hundreds, perhaps thousands of documents. The goal of our program is to create a searchable online database for students and scholars. Whoever volunteers for this project will be given charge of a small group of History department student interns. As we are a public school, any candidate must undergo a CORI background check.

Project Two

In the Ramapogue Historical Society’s collection is a 17th century, leather bound Koran that is fully illuminated. Lucinda Day, relative of Josiah Day (of the Josiah Day House where the manuscript is kept) worked as a missionary from 1875-1880 in Persia. She returned with this unique tome that has been hidden from the general public for now over a century. This manuscript, to my knowledge, has never been appraised by a professional and could prove to be of great historical value. The goal of this project is to create an eBook version of the Koran. Note: it is uncertain whether this eBook will exist in the public domain, or as a for-fee eBook to fundraise for the historical society. Interns could be provided if desired.

RESPONSIBILITIES: Works with Special Collections Manager and staff to provide access, through metadata creation, to a large collection of materials, including vertical files, newspapers, and photographs, on all aspects of Abraham Lincoln’s life and times. Answer reference questions concerning Lincoln’s life and times from a wide variety of interested customers. Assist with the creation of local displays as well as virtual displays. Other duties as assigned to help make this incomparable collection of Lincoln materials more widely accessible to the public.

MINIMUM QUALIFICATIONS: ALA-accredited Master of Library Science degree with knowledge of American History acquired through appropriate graduate or undergraduate course work in history, particularly mid-19th century U.S. history. Good organizational and cataloging skills. Strong commitment to responsive proactive library service as it relates to making library materials as accessible as possible virtually. Excellent oral and written communication skills. Ability to write meaningful web posts and collection descriptions for both instructional and public relations purposes. Familiarity with contemporary technology and its applications in the informational, historical, and genealogical fields. Ability to work positively with a wide variety of staff members and the public. Cooperative spirit, enthusiasm, friendliness, energy, resourcefulness, initiative, tact, good judgment and a sense of humor are essential. Ability to be flexible in working a few day, evening and weekend hours.

PREFERRED SKILLS & ABILITIES: One year’s library experience. Familiarity with manuscript and special collections. Familiarity with and/or interest in the life of Abraham Lincoln a plus.

East Asian Collections Cataloger (Term Appointment), Brown University Library, Providence RI

The Brown University Library seeks an experienced library professional to catalog print materials and other tangible formats for its East Asian collections. This position is a 12 month term appointment.
The East Asian Collections Cataloger will be responsible for providing intellectual access primarily to Chinese-language materials in a variety of tangible formats. Working with both older and more receipt imprints, s/he will search appropriate bibliographic databases (e.g., WorldCat, Brown’s local Josiah catalog), find and modify matching records, or create new entries where necessary. Reporting to the head of Cataloging and Metadata Services, the East Asian Collections Cataloger will also work closely with the East Asian Collection curator and other staff members to prioritize work, manage workflows, and resolve problems relating to the cataloging of these items.

The Brown University Library encompasses six facilities, including one 24/5 student study space and one off-site, high-density storage building. The Library’s holdings include over 4.6 million total volumes, 13,000 linear feet of manuscript materials, over 88,000 print and electronic journal subscriptions, several hundred thousand e-books, and nearly ca. 80,000 digital objects. The Library’s Asia Collection comprises ca. 150,000 volumes in East Asian languages (Chinese, Japanese, and Korean), as well as thousands of additional Western-language items, e-resources, microforms, A/V resources, and maps. A dedicated staff of 155 FTE (including 66 bargaining unit support staff) provide services to a campus population of 800 faculty, 2,500 graduate and medical students, and 6,000 undergraduate students.

The person filling this new position will:

• Describe Library materials (primarily in the Chinese language) that require original cataloging or substantial upgrading of cataloging copy, using current cataloging codes and carrier standards (e.g., RDA, AACR2, Machine-Readable Cataloging (MARC)).
• Assign classification numbers, subject headings, and genre terms for items in all subject areas.
• Perform authority work for local, national and international files, including headings contributed to the Name Authority Cooperative Program (NACO).
• Effectively manage the flow of materials according to Library priorities

Qualifications:
• MLS degree from ALA-accredited library school or combination of other graduate degree and relevant experience.
• Minimum of three years of cataloging experience.
• Native or near-native Chinese-language ability, including ability to read both traditional and simplified characters. Reading knowledge of Japanese and/or Korean highly desirable.
• Demonstrated proficiency with prevailing cataloging rules and standards (e.g., RDA, AACR2), Library of Congress’s application and interpretation of those rules, Library of Congress subject headings and classification system, and MARC21 or other data carrier formats. Commitment to contributing to international bibliographic databases and authority files. Experience describing multiple formats.
• Familiarity with Romanization schemes for Chinese (e.g., Pinyin, Wade-Giles).
• Strong computer skills, including experience with personal computer hardware and software and local and network-based input, editing, and mapping tools.
• Successful experience working in collaborative, professional environment.
• Degree and/or expertise in one or more subject specialties or formats.
• Interest in serving the needs of the Brown community of users and in maximizing access to the library resources.
• Evidence of ability to communicate effectively in spoken and written English.
